Cutting Telecom Costs by Using Fax Servers

For the better part of 20 years, companies around the world have relied on the fax machine for easy and discreet delivery of information and important documents. Today, entire industries would seem to stall, without the ability to send and receive faxes.
Although e-mail has a dent in the number of faxes distributed today asked, almost every company – large and small – is based on traditional dedicated fax machines still operate daily business. Many businesses have become woefully inefficient, as in and management of fax communication in their overall telecom cost reduction strategy approach. Too many phone lines and service to many little used fax machines, a surefire recipe for unnecessary expenditure Telecom.

fax server for the rescue The convenience of traditional fax technology has its price. For large organizations, this means dozens, perhaps hundreds of machines, each with a special phone line to send and receive faxes. Most corporate faxes to go during peak daytime hours in long distance rates are highest, add more to the cost of each transmission. In addition, traditional faxing requires an individual to copy a document, walk to the fax machine, dial the number, then wait for confirmation on the other end. A fax server can address all these issues by integrating hardware solution, software and LAN networks in a cost effective and seamless solution for the entire fax organizations – whether large or small. Fax servers enable transfers on the server itself consolidated, eliminating the need for multiple machines and dedicated lines for each machine. What is a fax server? Fax server basically have three separate components: a PC connected to a LAN and a telephone line, fax-server application software, and an intelligent fax board. A fax server system is installed in a local area network (LAN) server allows users to send and receive faxes directly from their desktop PC. These messages can be saved as word processing, database and spreadsheet files or graphics files. Scanned documents can also emulate a fax message sent directly from the desktop effectively a fax machine.

The advantages of using a fax server fax server can be very cost effective over the conventional fax machine. Numerous studies have documented and the costs associated with manual faxing, compared to a fax server solution compared. The time saved by employees alone will pay for itself in a short time. rendered Throw in the savings from the elimination of the machines, paper, toner and maintenance costs, and the fax server is even more compelling. The most obvious advantage is the fact that it can emulate a fax server, several fax machines – one for each network user. For example, an office previously used may have 25 dedicated fax machines (as well as 25 telephone lines) for its 150 employees, attached great function with only a fax server, and possibly only 6-10 phone lines to the server, depending on the disk one- and outbound fax activity. Fax servers also make it easy to send faxes groups of people and can be set to send faxes automatically at certain times of the day or night. How e-mail servers, fax servers can route incoming faxes to keep to the intended recipient’s PC from prying eyes confidential and private correspondence by fax. Fax servers also automatically repeat fax numbers, if and when they are employed.

How many Phone Lines for One You Do not Need Fax Server? Some industry guidelines recommend a 7.25 per phone line network users although this estimate should be considered as only a “ball park” will figure. The number of telephone lines per fax server is required ultimately depends on the characteristics of each fax server installation and the number of users that use the server. The number of lines should be on the needs of the company or department or group that each fax server is designed to assess support. Now consider implementing a fax server solution, how much of the existing and future traffic, the fax server to support need. Make a list of the types of fax, the server will be called upon to treat. The server is mainly for the automatic faxes during off-peak hours are used?
How much queuing delay is tolerable for outgoing faxes? Will faxes are sent and received?
How much time is needed to send a typical outgoing fax?

Vendors and / or telecom consultants to the many factors that go into analyzing specific installations, but the buyers are still advised to understand their own specific needs in order to ultimately make an informed and wise buying decision.

The Bottom Line: Fax server costs As with most equipment purchases, the costs depend on the needs and characteristics of the organization. Plan a few thousand dollars or more for a state-of-the-art fax server solution, however. The left column of this newsletter lists current fax server on Amazon. com and below you will find current eBay listings for “fax server to see.” Industry leader in fax server hardware is Brooktrout Technology, Inc. faxing is here to stay. There is no question that the benefits and use of a fax server will save your company money in the long-and short-term.
Look to the fax server solution as part of your total telecom cost-reduction strategy.
